Secretary/Sales Administrator

We are actively recruiting an experienced secretary/sales administrator for a family run business based in Exeter. This is a rare opportunity for the right candidate to join an established and successful local business with supportive and approachable directors. I am looking for a pleasant but strong willed candidate who is exceptionally organised, hands on with a good professional telephone manner. This is a lovely opportunity for someone who prefers to work in a smaller organisation and enjoys communicating with people daily. You will understand how important it is to have routine in the work place, have excellent IT skills (Word and Excel) and enjoy working in a family run business. A good and accurate typing speed is required and excellent communication skills are vital

 
The Secretary/Sales Administrator will be responsible for a wide range of duties including:
Managing customer's orders, collating sales figures daily, monthly and annually, typing up hard copies, filing, updating information, ordering goods, liaising with sales staff and customers to arranging deliveries
Taking incoming calls from customers and suppliers, actioning appropriatley
Goods in, booking goods onto the system
Monitoring outstanding orders, checking acknowledgements have been received, chasing up suppliers
Quotations, typing up customer quotes and confirmations and forwarding to customers
Producing customer invoices and processing payments and taking payments over the phone
Opening and distributing mail daily, ordering office supplies
Typing and sending correspondence.
 
This is a family run business so finding the right personality to fit within a small team is key. You must be approachable with a calm nature and the ability to get on with people at all levels. This is a varied position which requires secretarial/office experience, good IT skills and the ability to organise and prioritise effectively using your own initiative. You will be speaking with a lot of suppliers and customers by phone so a friendly engaging telephone manner is essential.
 
Whilst a retail background is desirable, applications are welcome from individuals from other industries with the relevant skills/experience and a proactive work ethic. This is a full time permanent position working Monday to Friday 9am to 5.30pm with 30 minutes for lunch. Pension, free parking and 20 days holiday plus bank holidays.
